There are two classes of visitors: pre-registered and walk-ins. A pre-registered visitor already exists in the registration database while a walk-in is a new visitor who must supply his details.

Walk-in visitors must supply their contact details and demographic data by filling in the registration questionnaire.

One of the main functions of registration is to accurately capture visitor data for analysis. It is very important that this questionnaire is designed in a manner suitable for manual data capture. For example: large blocks should be printed next to each question giving the visitor plenty of room to fill in details in large block capitals.

Unless agreed otherwise the client must supply the actual registration forms. GES staff will distribute the forms to walk-in visitors. The Hosts will ensure that all required data is filled in correctly.

If an entrance fee is required, then the entry form is also the “ticket” which is purchased by the visitor. In this case the tickets should have serial numbers stamped on them for traceability.

As part of the general contract GES will supply the consulting expertise to ensure that the registration entry form is designed appropriately, and that there is consistency between the online and on-site questionnaires.

A pre-registered visitor needs only present his barcode letter, or supply his name, and his badge is printed immediately. Some of the registration counters are usually reserved for pre-registered visitors only so that those with barcode letters do not have to queue with the walk-in visitors who have filled in forms. This is an incentive for people to pre-register online before the event.
